PUBLIC SAFETY RECORDS ASSISTANT (MULTIPLE VACANCIES)


 

Position Information

The Arlington County Police Department is seeking multiple Records Assistants to provide criminal justice records management support to the System Management Division's Administrative Support Unit. The Records Assistants will be primarily responsible for the management of the department's records in accordance with the Code of Virginia, Arlington County Code, and other regulations and policies.

Major job duties:


  • Providing public facing customer service to citizens and federal, state, and local law enforcement agencies via telephone and in person by explaining policies and procedures, retrieving and reviewing requested information, performing criminal history record information requests, incident verifications, and Freedom of Information Act (FOIA) responses;
  • Entering, verifying, scanning, uploading various data into records management system including false alarm registrations, impound vehicle entry and release and banning notices;
  • Verifying all reports merged into the records management system adhere to the Virginia State IBR/NIBRS rules, guidelines, and standards by identifying errors and professionally communicating with police personnel to initiate corrections;
  • Processing taxi, vendor licensing applications, and expungement orders;
  • Distributing subpoenas issued to officers and providing procedural and non-interpretive information in person or by phone;
  • Opening, sorting, and distributing mail, assisting with sending outgoing mail, and scanning and importing documents to Law Enforcement Records Management System (LERMS);
  • Processing payments and invoices related to services rendered such as parking tickets and boot removal; and
  • Researching information using computer databases or various file sources including microfiche/microfilm.

Selection Criteria

This announcement will be used to fill current and future vacancies for both non-bilingual and bilingual (English/Spanish) positions.

Minimum:


  • High school diploma or GED; and
  • Progressively responsible records management experience.
Substitution: Successful completion of college coursework from an accredited college or university may be substituted for the experience requirement.

Desirable: Preference may be given to candidates with experience in one or more of the following:
  • Working in a public safety, corrections, courts, or police administration environment;
  • Managing sensitive or confidential information or records using file management or database systems;
  • Working with automated management information systems or databases such as Virginia Criminal Information Network (VCIN) or Incident Based Reporting (IBR); and/or
  • Bilingual in Spanish/English.

Special Requirements

Due to the sensitive nature of this position, candidates receiving consideration will be required to undergo a pre-employment polygraph examination and a character/background investigation conducted by the Police Department.

Selected employees must take the state mandated Virginia Criminal Information Network certification class and pass a written examination within six (6) months of hire.

An assessment of verbal Spanish proficiency is required before a candidate can be appointed to a bilingual position (English/Spanish). The incumbent in a bilingual position will receive the language pay premium on all hours worked.


Additional Information

Work Hours: Monday through Friday, 8:00 am and 4:00 pm. This position is onsite and requires the incumbent to work from the office.

The pay ranges listed above are effective June 18, 2023.
