Summary:

We are looking for a Phone Operation that will sit out of our Los Angeles clinic. This will be a full time, full-benefits, 40 hours a week position. The hours will be Monday-Friday, 7:30am-4:00pm with some holiday rotation.

We are seeking a friendly and professional individual to join our team as a Phone Operator. In this role, you will be responsible for efficiently handling incoming and outgoing calls, providing exceptional customer service, and directing calls to the appropriate individuals or departments. The ideal candidate should have excellent communication skills, a courteous phone manner, and the ability to multitask in a fast-paced environment.

Responsibilities:

Answering and Routing Calls:

  • Greet callers in a professional and friendly manner.
  • Answer incoming calls promptly and provide accurate information or transfer calls to the appropriate person or department.
  • Take and relay messages as necessary.
  • Maintain knowledge of the organization's services, personnel, and departments to assist callers effectively.

Assisting Callers and Providing Customer Service:

  • Provide exceptional customer service by actively listening to callers' inquiries and concerns.
  • Assist callers with general information, such as office hours, directions, or basic company policies.
  • Handle difficult or irate callers with patience and professionalism, resolving issues or escalating them to the appropriate supervisor if needed.

Managing Phone System and Equipment:

  • Operate and manage a multi-line telephone system, including transferring calls, placing callers on hold, and utilizing other phone features.
  • Monitor voicemail messages and promptly respond or forward them as required.
  • Ensure that all phone equipment and systems are in proper working order, reporting any malfunctions to the appropriate personnel.

Maintaining Documentation and Records:

  • Accurately record and maintain call logs, including caller information, nature of the call, and any actions taken.
  • Update and maintain directories, extension lists, and other phone system records.

Assisting with Administrative Tasks:

  • Provide general administrative support, such as data entry, document filing, and mail distribution, as needed.
  • Collaborate with other administrative staff members to ensure smooth operations and efficient communication within the organization.

Requirements

  • High school diploma or equivalent.
  • Proven experience as a phone operator or in a similar customer service role is preferred.
  • Excellent verbal communication skills and a clear, courteous phone manner.
  • Strong listening and problem-solving skills.
  • Proficient in using telephone systems and basic office equipment.
  • Ability to multitask, prioritize, and manage time effectively.
  • Proficient in computer skills, including email and basic office software.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
